Volunteer Roles
Volunteer Roles:
President
The President’s responsibilities include:
- The President is required to be a member of the IU Alumni Association.
- Supervising and coordinating chapter activities.
- Calling and presiding over regular and special meetings of the chapter Board.
- Ensuring the completion of the alumni chapter’s Annual Report for the IUAA.
- Serving, if interested, as a member of any standing or ad hoc committee, with the right to vote
- Appointing standing or ad hoc committees and their respective chairpersons.
- Serving as principal liaison with the University, the Alumni Association and other organizations.
Vice President
The Vice President’s responsibilities include:
- The Vice President is required to be a member of the IU Alumni Association.
- Presiding over alumni chapter meetings and events in the absence of the President.
- Chairing the Nominating Committee.
- Serving as a resource for the Chairs of various committees, and participating in associated activities as needed.
- Assuming the duties of the President on an interim basis if the President is unable to complete his/her term.
Additional responsibilities to consider for this position: Larger chapters sometimes have more than one vice-president, each with different responsibilities related to chairing committees or events. Some chapters list completing the Annual Report for the IUAA as a responsibility of the Vice President. Some chapters require the Vice-President to automatically succeed the President when his/her term ends.
Secretary
The Secretary’s responsibilities include:
- The Secretary is required to be a member of the IU Alumni Association.
- Giving notice of chapter Board meetings.
- Taking and distributing meeting minutes at Board and special meetings.
- Maintaining a permanent record of all proceedings.
- Maintaining and circulating the current chapter Bylaws and or historical documents related to the chapter.
- Taking attendance at chapter Board meetings.
Additional responsibilities to consider for this position: Some chapters list completing the Annual Report for the IUAA as a responsibility of the Secretary Some chapters require the Secretary to serve as the primary communications officer or chairperson for the chapter (coordinating chapter blast e-mail announcements, chapter mailings, and maintaining the chapter website).
Treasurer
The Treasurer’s responsibilities include:
- The Treasurer is required to be a member of the IU Alumni Association.
- Receiving all funds paid to the chapter.
- Disbursing chapter funds (check writing).
- Maintaining a permanent record of all financial matters related to the chapter.
- Preparing a Treasurer’s Report on the status of the operating and scholarship funds (presented at each chapter Board meeting).
- Preparing and submitting two financial reports each year for the IU Alumni Association. These reports are included as part of the IUAA’s annual audit.
- Assisting in preparation of event budgets and related record keeping.
- Prepare annual budget for the alumni chapter.
Immediate Past-President
The Immediate Past President’s responsibilities include:
- The Immediate Past-President is required to be a member of the IU Alumni Association.
- Attend regular meetings of the chapter Board or Executive Committee.
- Serve as a key advisor to the officers or Board members of the chapter.
Additional comments regarding Immediate Past-President: Most chapters place limited responsibility onto the Immediate Past-President. After all, they’ve just shouldered much of the chapter leadership responsibility. However, their insight and experience is crucial to the success of most chapters, and having a position on the board or simply obtaining their input on chapter related matters is critical.
Chapter Board Members
Board member responsibilities include:
- All board members are required to be a member of the IU Alumni Association.
- All board members shall vote on matters related to chapter business and activities.
- Board members will serve a specific term length, and shall serve until their successors are installed.
- Board members should attend a majority of all chapter events, meetings, and activities.
- Board members shall promote the interests of the alumni chapter, Indiana University, and the IU Alumni Association.
Committee Chairs
Committee chairs responsibilities include:
- Coordinate specific events under a general committee heading (i.e. all student-related chapter events fall under the direction of the Student Recruiting Chair or all networking events fall under the direction of the Social Chair).
- Give direction to other volunteers regarding a chapter event or project.
- Possibly host a specific chapter event or preside over it.
